How the fee works, in plain English.

No subscription. One small fee per invoice. By default your customer pays it on their invoice, and you can change that anytime. If you're not invoicing, you're not paying.

The 30-second version

  1. You pay a one-time onboarding fee to get set up: Basic $499 · Pro $899 · Elite $1,299.
  2. Every invoice gets a small Service Mgt Fee: $0.79 · $0.69 · $0.49.
  3. By default, that fee is a line on your customer's invoice.
  4. Once a month, we bill you one charge for the fees on every invoice you sent.
  5. Your customers already paid you that money, so your net cost is $0 (with the default setting).

This assumes you never add a single tech. These numbers keep your current bill flat for the whole period: no new techs, no new users, no price increases. Most field service software charges more as your crew grows. CrewForge doesn't: every plan has unlimited users and no monthly subscription. If you grow at all, you'll likely save more than this, and the sooner you switch, the more you keep.

  • Estimates are based on what you enter. Your current software cost is your number; prices vary by plan, users, add-ons, billing term and promotions.
  • The comparison holds your current bill flat: it assumes you add zero techs or users and your current provider never raises prices. If either happens, your savings on CrewForge grow, because CrewForge includes unlimited users with no monthly subscription.
  • What you pay CrewForge up front is the one-time onboarding fee (Basic $499, Pro $899, Elite $1,299). There's no monthly subscription, and every plan includes unlimited users and QuickBooks sync.
  • CrewForge also bills a small Service Mgt Fee on every invoice you send. By default it's added to your customer's invoice, so it nets to $0 for you. You can split or absorb it instead, which adds a per-invoice cost not shown here. How the fee works
  • Card processing fees, if any, are separate. Enterprise pricing is custom: talk to us.
Pro and up

Different customers, different rules

Pass the fee on for one-off jobs, cap it for regulars so it stops showing on their invoices after a set number a month (you cover it after that), or exempt your biggest commercial account and cover it yourself. Exempt customers don't see the fee, and CrewForge still bills it to you.

Capped

Exempt

It's a separate, clearly labeled line, like a trip charge or a shop-supply fee. It's the same no matter how your customer pays, so it isn't a credit card surcharge.

The fine print, up front

  • CrewForge bills the fee on every invoice you send, whether or not your customer pays it, in one monthly charge to your card on file.
  • If you split, absorb, discount or exempt the fee, we still bill you the full fee for that invoice. You're choosing who covers it, not whether it exists.
  • If a customer never pays an invoice, the fee for that invoice is still billed. With the default setting, it was on their invoice, so you recover it when they pay.
  • We give 30 days' notice before any fee change.
  • Fee rules for contractors differ by state and province. Ask your accountant how to show the fee in your area.

Fee questions

Will my customers complain about the fee?
It's a small, clearly labeled line, usually under a dollar. If a customer asks, you can absorb it for them in a click.
Do I charge sales tax on the fee?
That depends on where you work, so ask your accountant. CrewForge's ZIP-based tax rates are an estimate; you're responsible for the final tax amounts.
Is this the same as a credit card surcharge?
No. It's the same for every payment method and isn't tied to card processing.
Can I turn the fee line off?
Yes. Absorb it, or set a customer to Exempt. You'll cover the fee for those invoices.
Does it apply to every invoice?
Yes, every invoice you send through CrewForge.
What does the fee pay for?
Hosting, updates, QuickBooks sync and support. It's how CrewForge runs without a monthly subscription.
